Thank you for your enquiry into possibly holding your wedding at Cleopatra Mountain Farmhouse. We take pleasure in providing you with the following information.
Cleopatra is situated on over 500 acres of magnificent gardens and majestic mountains in the Kamberg valley of the Drakensberg Mountains. The 11 rooms and suites are individually decorated and furnished in different styles ranging from the Blue and White Plate Room, Garden room, Cowboy Room and offer guests every comfort while the romantic, Honeymoon suite has a separate sitting area with log fire place for those romantic evenings.
It is our policy that the entire lodge is booked for your wedding. The Honeymoon suite is however given to you free of charge on your wedding night. Should our proposal not be acceptable, please do contact us immediately so that we can discuss different options as we value your business.
Chapel & Minister
One of our chapel options overlooks the trout filled dam with views of the mountains and is covered for your convenience. The isle down the centre will be scattered with natural vegetation in line with the farmhouse feel. After the ceremony the bride and groom will board the rustic raft and be escorted to the reception area where they will meet up with the wedding party. We can put you in touch with an inter-denominational minister in the area. Witnesses need to be arranged by the bridal party.
Banqueting Room
Our Pioneer room lends itself to small or bigger groups and has fold away doors opening onto a deck, which overlooks the dam and the mountains. The hiring costs of this venue is R6,000.00 and this includes the chairs, tables, table cloths, chair covers, crockery and cutlery, use of the raft as well as the use of the chapel area.
Seating capacity
Depending on your required seating plan the Pioneer room can accommodate up to 60 guests and will include a dance floor and an area for the musicians.

Menu Selection
• Please see attached menu for pre reception canapés from R30 per person.
• Our wedding menus start at R300.00 per person (3 courses) depending on your selection of dishes. See attached banqueting menus.
• Vegetarian meal options are available on request. Our kitchen is neither Kosher nor Halaal.
Coordination Service
The services of our management and banqueting team are available to you throughout the planning stages of your function culminating on your actual wedding day. We will happily set up appointments for you to meet with the individual suppliers and obtain relevant quotes for:
• Candles
• Flowers
• Hairdresser and beauty treatments
• Photographer and videographer
• Music
• Wedding cakes
Waitrons
Our duty managers are employed to attend to the needs of the wedding party and ensure that your guests have an enjoyable and relaxed time at Cleopatra.
Service Fee
A 10% service fee will be charged on the total food and beverage bill, excluding the venue hire.
Accommodation
The lodge has 5 Standard Rooms, 3 Luxury Suites, 1 Executive Suite, 2 Executive Cottages. All rooms and suites must be booked by the wedding party. Over weekends there is a minimum 2 night stay i.e. Friday and Saturday, however, should you choose to book your wedding mid-week only one night is applicable.
Rates are valid from 1st October 2010 until the 30th September 2011.
The rate for all the above rooms is R1,100.00 per person, per night, bed and breakfast only. Should your guests be settling their own accommodation, this would be on a first come, first serve basis. Alternatively you are welcome to allocated rooms to your guests.
Honeymoon Suite Rate
A complimentary room of your choice to the bride and groom, including breakfast
A detailed rooming list is required two weeks prior to the wedding. Please enquire from your wedding co-ordinator for additional accommodation available in the area.
Children
Our normal children policy is no children under 12 years of age, however, at wedding functions we will make exceptions. Extra beds can be placed in the Luxury Suites, Executive Suite or Executive Cottages at a 50% surcharge, bed and breakfast. Children under 4 years stay free of charge. Dinner menus for the children can be arranged and babysitting charges are R30 per hour and R50 per hour after 12pm. Babysitters are subject to availability.
Bar Services
• A choice of Sherry, Pimms or sparkling wine is available for your pre reception drinks.
• We have an extensive wine list of hand picked estate wines, fine sparkling wines and Champagnes available.
• No wines, spirits or food may be brought onto the premises for consumption at your function.
• We offer a full bar service.
• If non wine list wines are requested, we can organise these for you however clients are expected to purchase the total number of units, which have been ordered for your function, irrespective of whether consumed at your function or not.
• Please confirm all beverage requirements one month prior to your wedding in order to ensure the correct quantities and wine selections are available.
Set up and cut-off times
• Set up time prior to functions will be confirmed subject to availability.
• Subject to availability the function room will be made available to clients on the day prior to the function from 16h00.
• A staff overtime rate of R1 000.00 per hour or part thereof will automatically be added to your bar account if your function continues past 24h00.
• All candles, flowers, etc must be removed from the lodge by no later than 11h00 the day after your reception.
Payment Requirements
• Your booking will be secured by the payment of a non-refundable deposit of R6,000.00, which will include the venue and wedding ceremony hire together with a signed copy of this contract within seven (7) days of booking the venue
• 30 days prior to the function:
o balance of payment is required
o confirm menu and liquor requirements
• 14 days before the function
o Procedure of function to be discussed and finalised
o Final checklist
o Final confirmation of menu and liquor requirements
o Final number of guests
• Prior to departure
o Balance of food and liquor bill and any extras is payable
• We accept all major credit cards
• No cheques accepted without prior arrangement.

Cancellations
• We will hold your booking on a provisional basis until a signed copy of this agreement is received along with the deposit. The booking shall be released should this not occur within seven (7) days.
• All monies are non refundable once paid by the client within the stipulated time periods
• Unless specified elsewhere, the client will be entitled to vary the number of persons attending the function by up to 10% of the originally notified number at any time up to 14 days prior to the date of the function.
• Cleopatra Mountain Farmhouse reserves the right to cancel any booking forthwith and without liability on its part in the event of any damages to, or destruction of the venue by fire, shortage of labour, strikes, industrial unrest or any other causes beyond the control of Cleopatra, which shall prevent it from performing its obligations. In these circumstances every effort will be made to find an alternative venue.
